Integrate with SmartRent Manager

Alloy Access and SmartRent are integrated to automatically create member credentials using property management system (PMS) data.

Integrating SmartRent Manager

In order to have a seamless experience between Alloy Access and SmartRent Manager Web, we must first link the two systems so they can continuously talk to one another. To do this, we will first need to generate API Credentials through Alloy Access.

| Generating API Credentials

  1. Within Alloy Access, click on API Clients on the left navigation bar

  2. Click Add API Applications

  3. In the field name Input SmartRent and click Save

  4. Once created gather the following API Client details:

    1. Key

    2. Secret (click Show Secret to reveal)

  5. This process can be repeated for integrating with any compatible platform by repeating Steps 1-3

  6. In order to see Alloy Access event history in SmartRent Manager, validate the Webhook URL field is set to https://control.smartrent.com/p/webhooks/alloy-access

Adding Integration Credentials to SmartRent Manager

  1. Log in to your SmartRent account

  2. Click on the property that you wish to integrate with

  3. Click on the Settings tab on the left-hand side then click on Integrations

    1. This will allow you to view any current providers SmartRent integrates with

  4. Click on Alloy Access then click on Credentials at the top

  5. Input your Alloy Access Key & Secret

    1. This information was created in the Generating API Credentials section in Alloy Access

  6. Click Update Provider Settings to save this information

Property Access Settings & Features

We have additional features designed to simplify your access control needs.

  1. Click on Property Settings at the top of the Alloy Access Integration page

  2. Click the checkbox next to Enable for any features you like to turn on

  3. Click Update Integration Settings

Feature Options:

  1. Prospect Property Access: This must be set up for Self-Guided Tours. If enabled, each prospect that creates a tour will be provided a PIN code that is automatically generated for them. If disabled, PIN codes will not be auto-created for prospect tours. There is also a setting to show Bluetooth Access on the Community Access Card within the Tours Web App.

  2. Guest Property Access: If enabled, each guest that is invited in will have an Alloy Access PIN code automatically generated for them. This PIN will match the PIN generated for the residents’ door. If disabled, PIN codes will not be automatically created for guests when invited.

  3. Auto-Assign Community Access Pin: If enabled, each resident that is marked as Moved-in will have a random 6-digit code automatically generated and sent to them. If disabled, PIN codes are not auto-created for residents during their move-in process

  4. Auto-Assign BLE Credential: If enabled, each resident that is moved in will have a BLE credential generated for them. If disabled, a BLE will not be automatically created for residents during move-in.

To configure Guest Access Settings click Settings on the left navigation bar, click Residents, and then click Guest Access Settings. Fill out the corresponding fields you would like your residents to use:

  • Temporary Access: Select the number of codes you wish for a resident to be able to create at a given time and the max duration of time those codes can be active for

  • Recurring Access: Select the number of codes, maximum duration those codes can be active for and the amount of days per week

  • Permanent Access: Select the number of codes residents are granted to give out to have permanent access

  • Delivery Access: Select the number of codes you wish for a resident to be able to create for delivery access and set the maximum duration for the code to be valid

Mapping Access Levels and User Groups - Linking SmartRent Manager and Alloy Access Records

Now that you have linked SmartRent Manager and Alloy Access, you can customize how you would like to map your access levels. Settings can be found at the following path: Property > Settings > Integration > Alloy Access > Property Settings > Access Levels.

  • Access Level Mapping: Map the Alloy Access access levels to the SmartRent user groups using these fields. Once selected and upon creation, user records will automatically be added to the mapped Alloy Access access levels

Default User Groups During the onboarding process SmartRent will supply everyone with the following group types:

  • Residents

  • Maintenance

  • Staff

  • Vendors

  • Guests

  • Prospects

Additional unit groups can be added by going to Property > Settings > Manage Access Groups. Here you will be able to view all current user groups and as well as create custom unit groups. By creating new user groups it allows you to get specific and granular.

Build Custom Unit Groups

  1. Unit Groups allow you to combine a subset of units into different groups. You can then use these Unit Groups to set up more targeted property access controls

  2. To create a new group select Add Unit Group and fill in the following fields:

    1. Group Name: Input the name of the group, i.e. Floor 2

    2. Group Type: Select the type of group this relates to

    3. Group Units: Here you can select all the units that you would like to be associated with your new group

Automated SmartRent Manager Workflows

When Alloy Access and SmartRent Manager Web are connected, it allows you to have automatic workflows. Here are some of the most common automated workflows:

  • Residents Move-In: When a resident has been marked as Moved-In, they will automatically be assigned the PIN code (and BLE credential if enabled) for their unit, as well as given access to any common areas that are associated with the Resident user group

  • Resident Move-Out: When a resident has been marked as Moved-Out, they will automatically be removed from the resident group, which removes their access from their unit and common areas assigned with the Resident user group

Troubleshooting

If you can't see the common area access events in SmartRent Manager

Verify Webhook URL Configuration: Ensure that the Webhook URL is set correctly. The correct URL should be: https://control.smartrent.com/p/webhooks/alloy-access
